Comprehensive Travel Coordination:
Responsible for managing intricate travel arrangements for senior leadership, including itinerary development, bookings, Visa/Passport processing, and adherence to international travel regulations.


Advanced Calendar and Meeting Management:
Oversees the calendars for executives and staff, coordinates with various stakeholders, and organizes special events and meeting logistics.


High-Level Communication and Correspondence Oversight:
Manages phone calls, oversees messages, and responds to inquiries while drafting high-level correspondence for both internal and external communications.


Strategic and Confidential Administrative Assistance:
Handles sensitive matters with discretion, providing comprehensive support that includes calendar oversight, meeting organization, and workflow facilitation.


Document and Presentation Development:
Prepares and manages critical documents and presentations, assisting in the creation of materials for high-level meetings and events.


Financial Management:
Reconciles travel credit card statements and manages financial documentation with meticulous attention to detail.


Information and Document Organization:
Develops, revises, and maintains essential documents, composes reports, and assists in the creation of technical materials.


Data Collection and Analysis:
Engages in the collection and analysis of information on specialized topics.


Continuous Improvement Initiatives:
Identifies and implements enhancements to administrative processes.


Emergency Response Coordination:
Manages responses to urgent situations with professionalism.


VIP Visitor Management and Reception Oversight:
Provides visitor services, oversees the reception area, and manages executive contacts.


Office Management and Space Planning:
Oversees space planning, distribution of office supplies, and mail management.


Additional Administrative Responsibilities:
Provides coverage for federal administrative assistants and undertakes additional duties as required.

  • Bachelor's Degree
  • Must have previously held a Public Trust clearance

8 years of high-level executive support experience, preferably in the federal government.


  • Ability to perform complex, sensitive, highly responsible, and confidential office administrative, secretarial, and clerical support functions.
