About the Role

The University of Miami is seeking a highly skilled and experienced Executive Director, Facilities Finance and Administration to join our team. This is a full-time staff position that will report to the Executive Vice President for University Operations and External Affairs.

Key Responsibilities
  • Oversee the financial operations of the Facilities Operations and Planning department, including budgeting, financial reporting, and cash management.
  • Develop and implement financial strategies to support the department's goals and objectives.
  • Provide financial analysis and guidance to departmental leadership and staff.
  • Collaborate with Financial Planning and Analysis and Facilities Construction and Design to develop and implement a multi-million dollar capital plan.
  • Liaise with the University's Finance department to ensure compliance with institutional-wide financial standards.
  • Develop and maintain cash flow forecasts for capital and replacement projects.
  • Direct the financial team to produce accurate monthly balance sheet account reconciliations.
  • Coordinate the preparation and development of the annual operating budget for Facilities Operations and Planning, Parking and Transportation, and UMPD.
  • Meet with department leaders to review operational spend, update annual operating projections, and develop strategic initiatives to improve efficiency and save money.
  • Lead discussions with University Leadership regarding financial projections, budget development, capital funding requirements, and process improvement.
  • Compile and analyze data for reporting on special initiatives such as Key Performance Indicators, Project Delta, Real Estate opportunities, and construction project budget-to-actual updates.
  • Collaborate with end users and Financial Planning and Analysis to initiate Request for Service forms to open and fund project accounts.
  • Develop and prepare Board presentation materials and annual reports.
  • Provide ad hoc reports to Facilities Operations and Planning leaders.
  • Update construction project dashboards.
  • Assist the Controller's Office and Treasury with Real Estate transactions.
  • Ensure monthly closes are in accordance with Generally Accepted Accounting Principles.
  • Manage the finance and accounting staff for the division.
  • Support the Executive Vice President for University Operations and External Affairs team as needed.
  • Track and maintain Replacement and Renewal documents for reporting on facility conditions and deficiency costs by building.
Requirements
  • Master's degree in a relevant field.
  • Minimum 15 years of relevant experience.
  • Ability to communicate effectively in both oral and written form.
  • Ability to maintain effective interpersonal relationships.
  • Ability to work independently and/or in a collaborative environment.
  • Ability to effectively plan, delegate, and/or supervise the work of others.
  • Knowledge of generally accepted accounting procedures and principles.
  • Knowledge of budget control methods, policies, and procedures.
  • Ability to prepare financial and accounting records.
  • Ability to compile, organize, interpret, and communicate accounting data and results concisely.
