Position Overview:

The individual in this role is accountable for the upkeep, precision, and thoroughness of student documentation and schedules.

Leadership and Oversight:

Assists the Records Lead in overseeing the Records Clerk, when applicable.

Key Responsibilities:

  • In the absence of the Student Records Manager, oversees the Student Records team.
  • Maintains strict confidentiality regarding sensitive information, including operational policies, handbooks, employee data, program details, financial records, and any other confidential material.
  • Conducts audits and verifies the accuracy and integrity of all student records upon separation.
  • Ensures meticulous and complete management of student records to support the timely submission of essential reports, including CPP and CDP records.
  • Guarantees compliance with the standards and requirements of the CIS database management system.
  • Adheres to all USDOL and Job Corps regulations concerning student accountability and documentation, as well as Financial Audit standards.
  • Provides assistance to students regarding pay, allowances, leave, and travel inquiries.
  • Facilitates training for Records Clerks and other departmental staff in the management and completion of student records, ensuring adherence to USDOL standards, PRH, CIS, and other directives.
  • Ensures accurate and complete maintenance of student records to facilitate timely reporting (e.g., morning reports, weekly updates, leave records, enrollment, pay, etc.).
  • Understands and implements program integrity according to Adams SOPs, PRH, and Job Corps regulations.
  • Delivers exceptional customer service consistently.
  • Provides necessary training for both new and existing employees.
  • Mentors and models the Career Success Standards as mandated by the PRH.
  • Demonstrates respect and courtesy towards students while holding them accountable for their conduct.
  • Ensures quality services for students, focusing on meeting their needs and pursuing improvements in service delivery.
  • Communicates ideas and information clearly and concisely, contributing meaningfully to group efforts and providing timely information to DOL/Company as needed.
  • Collaborates with staff across all departments to ensure effective supervision and support services for students.
  • Accepts guidance and direction from the Center Director/Center Duty Officer/Shift Manager, including temporary assignments to fulfill responsibilities in other departments.
  • Performs additional duties as assigned.

Qualifications

Education & Experience:

  • High School Diploma is required; an Associate Arts Degree in Data Processing, Business Management, or a related field is preferred.
  • Proficiency in Microsoft Office applications is required.
  • Experience in a supervisory role is desirable.
