Student Records Administrator

Position Overview:
The role involves ensuring the meticulous upkeep, precision, and thoroughness of student records and schedules.
Leadership and Oversight:
Assists the Records Lead in overseeing the Records Clerk, if applicable.
Key Responsibilities:
- In the absence of the Student Records Manager, supervises the Student Records team.
- Maintains strict confidentiality regarding sensitive information, including operational policies, handbooks, employee data, program details, financial records, and student information.
- Conducts audits and verifies the accuracy and integrity of all student records upon separation.
- Ensures comprehensive maintenance of student records to support timely report submissions. Effectively manages CPP and CDP records.
- Guarantees compliance with the requirements of the CIS database management system.
- Adheres to all USDOL and Job Corps guidelines related to student accountability and documentation, ensuring compliance with Financial Audit standards.
- Provides assistance to students regarding pay, allowances, leave, and travel inquiries.
- Facilitates training for Records Clerks and departmental staff on the maintenance and completion of student records, ensuring adherence to applicable USDOL requirements, PRH, CIS, and other directives.
- Ensures the accurate and complete maintenance of student records to facilitate timely report submissions (e.g., morning report, weekly report, leave records, enrollment, pay, etc.).
- Understands and implements program integrity in accordance with Adams SOPs, PRH, and Job Corps regulations.
- Delivers exceptional customer service consistently.
- Provides necessary training for new and existing employees.
- Mentors and models the Career Success Standards as outlined by the PRH.
- Demonstrates respect and courtesy towards students while holding them accountable for their actions.
- Ensures quality services for students, striving for continuous improvement and enhancement of services.
- Communicates ideas and information clearly and concisely, contributing meaningfully to group efforts by sharing relevant insights and knowledge. Provides timely information to DOL/Company as required.
- Collaborates with staff across all departments to ensure effective supervision and services for students.
- Accepts guidance and supervision from the Center Director/Center Duty Officer/Shift Manager, including assignments to temporarily fulfill responsibilities in other departments.
- Performs additional duties as assigned.
Qualifications
Education & Experience:
- High School Diploma is required. An Associate Arts Degree from an accredited institution in Data Processing, Business Management, or a related field is preferred.
- Proficiency in computer applications, particularly the Microsoft Suite, is required.
- Previous supervisory experience is desirable.
