Position Summary:

The Student Records Manager is accountable for ensuring the accuracy, integrity, and thoroughness of student records and schedules.

Leadership and Oversight:

Oversees all personnel within the Records department.

Key Responsibilities:
  • Adheres to all integrity protocols and procedures, ensuring the protection of student data.
  • Conducts interviews, recommends hires, manages disciplinary actions, and evaluates the performance of direct report staff. Ensures timely filling of staff vacancies.
  • Holds overall responsibility for the integrity of all student-related actions, accountability, and performance outcomes.
  • Manages the Student Records function through effective planning, scheduling, training, and supervision of staff.
  • Provides training for Student Records Clerks, Records Officers, and other departmental staff on the maintenance and completion of student records, ensuring compliance with applicable regulations.
  • Performs data analysis on student records.
  • Administers compliance with OASIS and CIS database management programs, serving as a backup contact for CIS.
  • Ensures the accurate and complete maintenance of student records to facilitate timely reporting.
  • Assists students with inquiries related to allowances, schedules, and transportation.
  • Ensures compliance with travel reconciliation guidelines.
  • Maintains adherence to privacy and confidentiality regulations.
  • Contributes to the development of Center policies and procedures as necessary, ensuring compliance with all relevant guidelines.
  • Acts as the Center's Accountability Officer, monitoring student accountability issues and documentation.
  • Delivers exceptional customer service consistently.
  • Motivates and empowers staff to fulfill their job responsibilities, employing effective time-management and delegation skills.
  • Provides necessary training for new and existing employees.
  • Fosters a supportive work environment, recognizing staff achievements and addressing performance concerns proactively.
  • Demonstrates respect and accountability towards students.
  • Ensures quality services for students, continuously seeking improvement.
  • Communicates ideas and information clearly and contributes meaningfully to team efforts.
  • Collaborates with staff across all departments to ensure effective supervision and services.
  • Accepts direction from management and performs additional duties as assigned.
Qualifications:

Education & Experience:
  • Associate's Degree from an accredited institution is required; Bachelor's degree is preferred. (An Associate's Degree may be substituted with a high school diploma and five years of relevant experience.)
  • Minimum of two years of supervisory experience in records management or administrative support is preferred.
  • Proficiency in computer applications, particularly spreadsheets and word processing software, is required.
