Position Summary:
The role involves overseeing the integrity, accuracy, and thoroughness of student documentation and schedules.
Management Responsibilities:
Assists the Records Lead in supervising the Records Clerk, if necessary.
Key Responsibilities:
- In the absence of the Student Records Manager, oversees the Student Records team.
- Maintains strict confidentiality regarding sensitive information, including policies, procedures, handbooks, data, and personnel details.
- Conducts audits and verifies the accuracy and validity of student records during separation.
- Ensures comprehensive maintenance of student records to support timely report submissions.
- Guarantees compliance with the requirements of the CIS database management system.
- Adheres to all guidelines set forth by USDOL and Job Corps concerning student accountability and documentation.
- Provides assistance to students regarding financial matters, including pay and allowances.
- Facilitates training for Records Clerks and departmental staff to ensure compliance with relevant regulations.
- Maintains accurate records to ensure timely submission of various reports.
- Implements program integrity in accordance with established procedures and regulations.
- Delivers exceptional customer service consistently.
- Offers necessary training for both new and existing employees.
- Mentors and models the Career Success Standards as outlined by the governing regulations.
- Demonstrates respect and accountability towards students.
- Ensures quality service delivery to meet student needs and continuously seeks improvement.
- Communicates effectively, both verbally and in writing, contributing valuable insights to team efforts.
- Collaborates with staff across departments to ensure effective service provision.
- Accepts guidance and assignments from supervisory personnel as needed.
- Performs additional duties as assigned.
Education & Experience:
- High School Diploma is required; an Associate's Degree in Data Processing, Business Management, or a related field is preferred.
- Proficiency in Microsoft Office applications is essential.
- Previous supervisory experience is desirable.
