Position Summary:

The Student Records Administrator is accountable for the management, precision, and thoroughness of student documentation and schedules.

Management and Oversight:

Assists the Records Lead in overseeing the Records Clerk, if applicable.

Key Responsibilities:

  • In the absence of the Student Records Manager, supervises Student Records personnel.
  • Maintains strict confidentiality of sensitive information, including policies, handbooks, data, employee details, program specifics, financial records, and student information.
  • Conducts audits and verifies all departing student records for accuracy and integrity.
  • Ensures the meticulous maintenance of student records to support the timely submission of necessary reports.
  • Guarantees compliance with the requirements of the CIS database management system.
  • Adheres to all USDOL and Job Corps regulations regarding student accountability and documentation.
  • Provides assistance to students regarding pay, allowances, leave, and travel matters.
  • Facilitates training for Records Clerks and other staff on maintaining and completing student records, ensuring compliance with relevant regulations.
  • Ensures timely submission of essential reports, including morning and weekly reports, leave records, and enrollment data.
  • Implements program integrity in accordance with Adams SOPs and Job Corps regulations.
  • Delivers exceptional customer service consistently.
  • Offers required training for new and existing employees.
  • Mentors and models the Career Success Standards as outlined by the PRH.
  • Demonstrates respect and accountability towards students.
  • Strives for quality service delivery to meet student needs and enhance service offerings.
  • Communicates ideas and information clearly and effectively, contributing positively to team efforts.
  • Collaborates with staff across departments to ensure effective supervision and services for students.
  • Accepts guidance and assignments from the Center Director or designated supervisors.
  • Performs additional duties as assigned.

Qualifications:

Education and Experience:

  • High School Diploma is required; an Associate's Degree in Data Processing, Business Management, or a related field is preferred.
  • Proficiency in Microsoft Office applications is essential.
  • Previous supervisory experience is desirable.
