The Administrative Coordinator for Community Outreach plays a vital role in supporting the Outreach team and fostering community collaborations. This position is integral to a community center dedicated to assisting families facing homelessness and housing instability.

The Coordinator is actively involved in promoting racial equity initiatives, aiming for fair outcomes and fostering inclusive environments for marginalized groups, including people of color, immigrants, refugees, and gender-diverse individuals.

This is a full-time, non-exempt role that may occasionally require working on weekends, evenings, and holidays. The compensation for this position is $27.00 per hour, depending on experience.

Reporting to the Outreach Manager, the Coordinator will work on-site at the community center.

The standard working hours for this role are Monday through Friday, from 8:45 a.m. to 5:15 p.m.

Key Responsibilities

· Collaborate with the Outreach Manager to enhance programming and community engagement efforts.

· Oversee the distribution, reconciliation, and reporting of donations, resources, and services.

· Manage new employee onboarding items, including name badges and key fobs, and coordinate deliveries and facility repairs.

· Maintain shared calendars and serve as the primary contact for scheduling appointments with staff.

· Provide administrative assistance to the Outreach Manager.

· Attend team meetings, prepare agendas, and document minutes for regular discussions.

· Supervise seasonal administrative projects and community events.

· Assist with training coordination and record-keeping for staff.

· Maintain a welcoming presence at the front desk, greeting visitors and assisting with inquiries.

· Handle all incoming and outgoing mail and deliveries.

· Set up and manage an inter-office referral system for Outreach Specialists and partner agencies.

· Ensure effective communication with leads in partner organizations.

· Coordinate office equipment scheduling and maintenance.

· Manage inventory and order supplies for the resource room.

· Support mediation and conflict resolution among staff, under the guidance of the Outreach Manager.

· Provide administrative support to other programs as needed.

Skills and Qualifications

· Associate's degree or bachelor's degree, or equivalent experience.

· Minimum of 2 years in an administrative support capacity, preferably in a multi-faceted environment.

· Proven ability to exercise discretion and maintain confidentiality of sensitive information.

· Highly organized with effective time management skills, capable of juggling multiple priorities.

· Committed to meeting the needs of leaders and staff, with the ability to communicate effectively about conflicting timelines.

· Ability to thrive in both collaborative and independent work settings.

· Excellent written, verbal, and listening communication skills.

· Ability to build and maintain trust-based relationships with clients.

· Experience with accurate data entry and proficiency in Microsoft Office Suite.

· Comfortable using standard office equipment.

· Highly motivated, resourceful, and adaptable.

· Positive attitude and calm demeanor, even in high-pressure situations.

· Strong commitment to the mission of empowering families experiencing homelessness and promoting equity and diversity.

Physical Requirements

The physical demands of this role include:

  • Effective communication with individuals in various settings.
  • Proficiency in using computers and standard office equipment.
  • Ability to sit, stand, walk, bend, and lift supplies up to 25 pounds.
  • Flexibility to travel to different program sites as necessary.
  • Ability to work in environments where animals may be present.
