Overview:

Highlight Technologies is in search of an Administrative Program Coordinator to assist USAID's Bureau for Planning, Learning and Resource Management (PLR). This bureau is pivotal in formulating policies and strategies that enable USAID to fulfill its global mission of eradicating extreme poverty and fostering democratic societies.
Your role will encompass providing essential administrative support to the Bureau Front Office (FO) and the Office of the Assistant to the Administrator (AtA). This includes a variety of tasks such as managing calendars, preparing for meetings, facilitating clearances, drafting memos, and organizing both internal and external gatherings.

Key Responsibilities:

- Deliver direct administrative assistance to one or more Front Office Principals, which involves strategic calendar oversight, scheduling, and preparation of meeting materials.
- Provide logistical support for meetings, conduct follow-ups, and fulfill any other administrative requests from the principal as necessary.
- Manage travel authorization processes for Front Office principal(s), including travel arrangements, securing clearances, country travel concurrences, and visa preparations, along with voucher submissions as required.
- Take notes, draft, and circulate meeting minutes.
- Review, assign, and track various technical documents while applying administrative policies and maintaining systems and databases.
- Engage in outreach and communication with both internal and external stakeholders, ensuring clarity in both oral and written formats.
- Maintain a well-organized electronic filing system.
- Ensure that all briefers and clearances are completed and submitted promptly by PLR FO Principal(s).
- Edit and draft correspondence, recommendations, reports, and memoranda pertinent to the work of Front Office Principals. Provide guidance to managers and employees regarding administrative services.

Qualifications:

- Must be a US Citizen.
- Active Secret clearance is preferred.
- Bachelor’s degree required.
- A minimum of 2 years of experience in a related role.
- Background in international relations is preferred.
- Experience with USAID is a plus.
- Proven relationship management skills and the ability to operate under tight deadlines.
