Position Overview:
The Gulf Research Program (GRP), established by the National Academies of Sciences, Engineering, and Medicine, is dedicated to enhancing safety in oil systems and safeguarding human health and the environment in the Gulf of Mexico and surrounding U.S. continental shelf areas. The program aims to deepen the understanding of the interconnectedness of human, environmental, and energy systems in the region, promoting the application of these insights for the benefit of local communities and ecosystems.

Key Responsibilities:
Administrative Support:
Perform a variety of routine and advanced clerical and administrative functions, including drafting and revising correspondence, managing files, answering and screening calls, and coordinating mailings. Prepare financial documents and ensure compliance with travel expense policies. Address inquiries and maintain effective communication with members and external stakeholders.

Meeting Coordination:
Oversee logistical arrangements for committee meetings, workshops, and related events. Manage travel and accommodation bookings, set up meeting spaces, arrange catering services, and ensure all audio/visual requirements are met. Assist during meetings and address any arising issues. Compile agenda materials and briefing documents.

Research Activities:
Conduct fundamental research tasks, including literature reviews for staff and committee members. Collect and organize references, and participate in data collection and analysis efforts as needed.

Information Management:
Establish and maintain records, databases, and filing systems. Update and manage email and distribution lists effectively.

Qualifications:
Education:
High School Diploma, GED, or equivalent experience.

Skills and Abilities:
Proficient in Microsoft Office Suite. Capable of planning and facilitating extensive meeting activities. Strong problem-solving skills, with the ability to prioritize tasks and adapt to changing job requirements.

Experience:
A minimum of four years of relevant experience (education may substitute for experience).

Communication and Teamwork:
Exceptional communication skills with the ability to interact effectively with all organizational levels. Proven ability to work collaboratively in a team setting and build relationships across departments.

Supervision:
Reports to the program officer/director and collaborates on goal setting.

Work Environment:
This position operates in a hybrid office/telecommute setting, with an expectation of onsite work at least 20% of the time. Occasional travel may be required for meetings and events.

Compensation:
The National Academies are committed to equity and transparency in compensation. The estimated pay range for this role is $28.79 per hour, with final compensation based on the candidate's qualifications and experience.
