Position Overview

Under the general oversight of the Nursing Chair, the incumbent will independently manage the operational responsibilities associated with the daily administration of the Nursing Department.

Key Responsibilities
  • Act as a liaison among students, faculty, and departmental staff, ensuring timely communication and follow-up to enhance student satisfaction.
  • Handle inquiries via phone and in-person, providing accurate information and support.
  • Offer comprehensive details regarding program admission criteria, academic policies, and general content.
  • Assist in formulating and executing operational protocols.
  • Coordinate administrative functions related to academic programs, including recruitment, admission, registration, orientation, and student progression.
  • Maintain and update all records pertinent to assigned administrative tasks, ensuring all necessary documentation is complete.
  • Prepare and distribute class schedules, course outlines, syllabi, and related materials in collaboration with faculty.
  • Exhibit knowledge of state nursing regulations and programmatic accreditation standards.
  • Plan and oversee activities for program scheduling, meetings with academic partners, and student logistics, including classroom and clinical operations.
  • Engage in promotional activities for the program, such as recruitment events and professional conferences.
  • Assist in drafting and editing program documents, student handbooks, marketing materials, and other related documents in close collaboration with faculty.
  • Organize and disseminate program orientation and clinical schedules, ensuring accurate tracking of clinical hours and student activities.
  • Coordinate and participate in Program Advisory Board meetings and other relevant committee meetings, ensuring accurate documentation of minutes.
  • Support program evaluation initiatives and recommend strategies for efficient resource utilization.
  • Compile statistical data and prepare reports for program evaluation and accreditation purposes.
  • Ensure completion and proper filing of student and faculty immunization records and certifications.
  • Manage clinical affiliation agreements for practice facilities.
  • Order supplies and equipment for skills labs as necessary.
  • Document financial transactions and process related paperwork, including invoices and reimbursements.
  • Maintain organized filing systems, both physical and electronic.
  • Communicate with the Registrar's Office regarding unique student scheduling needs.
  • Assist in the organization of the Nursing Program completion ceremony.
  • Compile and submit monthly management reports for the program.

Qualifications

Education & Experience

A combination of an Associate Degree and two years of experience in an administrative role, or a variation of post-secondary education and four years of relevant administrative experience, particularly in a healthcare or educational setting.

  • Proficient in English, including spelling, grammar, and basic mathematics.
  • Familiarity with MS Office Suite (Word, PowerPoint, Excel, Outlook) and database management.
  • Strong organizational skills and self-motivation, with the ability to follow both oral and written instructions.
  • Capability to prioritize and manage multiple tasks effectively.
  • Exhibit professionalism and proper etiquette in all interactions.
  • Effective communication skills, both written and verbal.
  • Maintain confidentiality and handle sensitive matters with discretion.

  • Experience working with diverse populations.
  • Proficient in operating computers and office equipment, including multimedia tools.
