Position Overview

Under the general oversight of the Nursing Department Chair, the incumbent will independently manage the operational responsibilities associated with the daily administration of the Nursing Department.

Key Responsibilities
  • Act as a key point of contact for students, faculty, and departmental staff, ensuring timely communication and follow-up to enhance student satisfaction.
  • Handle inquiries via phone and in-person, providing essential information regarding program admission criteria, academic policies, and curriculum details.
  • Support the creation and execution of operational procedures within the department.
  • Oversee administrative functions related to academic programs, including recruitment, admissions, registration, orientation, and student progression.
  • Maintain and update all records pertinent to assigned administrative tasks, ensuring all necessary documentation is complete.
  • Prepare and distribute class schedules, course outlines, syllabi, and related materials in collaboration with faculty members.
  • Exhibit knowledge of the State Board of Nursing regulations and programmatic accreditation standards.
  • Organize and coordinate various activities, including program scheduling, meetings with academic partners, and events such as Discovery Day.
  • Participate in promotional activities for the program, including recruitment fairs and professional conferences.
  • Assist in the design and preparation of program documents, student handbooks, marketing materials, and other related documentation in collaboration with faculty.
  • Prepare and manage program orientation and clinical schedules, including the verification of clinical hours and maintaining clinical databases.
  • Coordinate and attend Program Advisory Board meetings, faculty meetings, and ensure accurate minutes are recorded and distributed.
  • Contribute to program evaluation efforts and suggest improvements for the efficient use of resources.
  • Compile statistical data and prepare reports for program evaluation and accreditation purposes.
  • Ensure the completion and filing of student and faculty immunization records and certifications.
  • Manage clinical affiliation agreements with practice facilities.
  • Order necessary supplies and equipment for skills labs.
  • Document financial transactions and manage related paperwork, including invoices and reimbursements.
  • Maintain organized filing systems for both hard copy and electronic documents.
  • Communicate with the Registrar's Office regarding unique student scheduling needs.
  • Assist in organizing the Nursing Program completion ceremony.
  • Prepare monthly management reports for the program.

Qualifications

Education & Experience

A combination of an Associate Degree and two years of experience in an administrative support role, or equivalent post-secondary education and four years of relevant experience in administrative support, particularly in a healthcare or educational setting.

Required Skills and Abilities
  • Proficient in English, including spelling, grammar, and basic mathematical skills.
  • Familiarity with MS Office Suite (Word, PowerPoint, Excel, Outlook) and database management for document preparation and information maintenance.
  • Strong organizational skills, self-motivated, and capable of following both oral and written instructions.
  • Ability to prioritize and manage multiple tasks effectively.
  • Professional demeanor and etiquette in all interactions.
  • Excellent written and verbal communication skills.
  • Capacity to maintain confidentiality and handle sensitive matters with discretion.
  • Understanding of academic policies and procedures.
  • Ability to build and maintain effective working relationships.
  • Experience working with diverse populations.
  • Proficient in operating computers and office equipment, with experience in multimedia tools.
