Position Overview

Chenega Corporation is seeking a dedicated Program Assistant to provide essential support to the US Agency for International Development (USAID), specifically within the Middle East Bureau's Strategic Planning and Operations Vetting team.

Key Responsibilities
  • Process all vetting requests in accordance with Vetting Support Unit (VSU) Standard Operating Procedures (SOPs) to ensure thorough completion of each task.
  • Exhibit reliability and a clear understanding of the assigned Mission Order regarding vetting processes.
  • Maintain accurate and up-to-date vetting trackers on a daily basis.
  • Possess a detailed understanding of vetting Mission/Bureau Orders related to assigned programs.
  • Demonstrate the necessary professional and technical skills required for the role.
  • Proactively identify potential challenges in completing tasks and propose effective solutions.
  • Adapt to shifting priorities as needed.
  • Communicate complex and sensitive information in a clear and concise manner.
  • Utilize professional language in both official and unofficial communications.

Identify and clarify customer needs by ensuring that vetting requests from partners are acknowledged, accurately entered into the VSU tracker, and processed in a timely manner.

Provide exemplary customer service to both internal and external stakeholders, consistently following through on requests.

Collaborate closely with the Program Manager, colleagues, and government personnel.

Administrative Support
  • Assist in identifying, analyzing, updating, and managing various administrative functions, including project tracking, data analysis, documentation, and budget support.
  • Perform clerical tasks such as filing, maintaining libraries, supporting portfolio reviews, handling information requests, and scheduling meetings.
  • Effectively manage multiple competing priorities through strong organizational and communication skills.
  • Deliver regular and timely status updates to the internal management team.

This position requires onsite presence for at least three days per week, as directed by the office.

Qualifications
  • High School Diploma.
  • A minimum of one year of professional administrative support experience.
  • Ability to obtain a Facility Access Clearance.
  • Proficiency in Microsoft Office Suite, internet navigation, email applications, and database management.
  • Strong communication and organizational abilities.
Knowledge, Skills, and Abilities
  • Ability to work independently as well as collaboratively with others.
  • Capacity to perform under tight deadlines while managing multiple detail-oriented tasks.
  • Effective interpersonal skills, particularly when interacting with senior leadership.

Salary will be determined based on qualifications, skill set, and available funding.
