Overview: As a pivotal member of the City of Grapevine's festivals and events team, you will play a key role in crafting memorable festival experiences and innovative concepts that elevate the special events division.

Key Responsibilities:

  1. Event Development: Collaborate with festival leadership to create engaging festival experiences. Develop comprehensive plans, timelines, and layouts for each event.
  2. On-Site Management: Oversee all aspects of on-site operations, including vendor coordination, entertainment logistics, and safety protocols.
  3. Creative Conceptualization: Contribute significantly to the evolution of festival experiences from initial ideas to final execution, ensuring a cohesive vision.
  4. Marketing Collaboration: Work closely with the marketing team to design festival signage, merchandise, and other essential visual elements.
  5. Process Improvement: Streamline planning processes and explore software solutions to enhance team efficiency.
  6. Committee Support: Assist festival leadership and steering committee members by providing operational updates and coordinating schedules.
  7. Aesthetic Enhancement: Research and propose enhancements to festival aesthetics and activities, aiming to enrich the attendee experience.
  8. City Coordination: Liaise with city departments to ensure all operational and utility needs are met for successful event execution.
  9. Vendor Relations: Address inquiries from vendors, suppliers, and the public in a professional and efficient manner.
  10. Documentation Maintenance: Maintain accurate records and databases related to festivals and events, ensuring all processes are documented.
  11. Equipment Coordination: Collaborate with team members to source necessary equipment for festival operations.
  12. Inventory Management: Lead efforts to maintain a well-organized inventory of festival equipment and ensure its operational readiness.
  13. Volunteer Engagement: Cultivate a strong volunteer base, particularly among corporate groups, to support festival activities.
  14. Budget Oversight: Monitor adherence to established budgets for each festival and event.
  15. Time Management: Effectively manage resources to meet multiple project deadlines.

Qualifications:

Applicants should possess a Bachelor's degree in a relevant field, along with three years of experience in event planning within a festival context. Strong communication, organizational, and financial management skills are essential. Proficiency in Microsoft Office applications and the ability to manage diverse teams are also required.
