ABOUT THE SHERIFF'S OFFICE:
The Deschutes County Sheriff's Office is a comprehensive agency responsible for managing the adult detention facility, providing law enforcement patrols, conducting criminal investigations, handling civil processes, and executing search and rescue missions.
Specialized units include SWAT, Marine Patrol, ATV Patrol, Forest Patrol, and five K9 teams. Established in 1916 and currently led by Sheriff L. Shane Nelson, the Sheriff's Office serves over 200,000 residents in Deschutes County.

ABOUT THE POSITION
The Administrative Operations Analyst is responsible for a variety of specialized administrative, analytical, and technical tasks, often involving confidential or sensitive information, for the Deschutes County Sheriff's Office. This role involves working within the Business Unit to manage a range of operational assignments, from routine to complex tasks. The position requires the ability to identify necessary information and make independent decisions for assigned projects or areas of responsibility, applying sound judgment to prioritize duties and special projects.

This is a standard office role with a Monday through Friday schedule from 8:00 a.m. to 5:00 p.m.

Key Responsibilities:
  • Contributes to the development and oversight of departmental budgets, internal accounting systems, and financial records; prepares and analyzes reports on financial and statistical matters.
  • Handles contract administration, including RFPs, scope of work, contract evaluations, and billing processes.
  • Assists in coordinating and preparing grant applications and managing awarded contracts; may act as a liaison with funding agencies.
  • Provides information and support to both internal and external stakeholders.
  • Utilizes the Deschutes County Sheriff's Office computer systems effectively, including state and federal electronic filing systems.
  • Engages in extensive data entry with a focus on detail, accuracy, and time management.
Qualifications:
Knowledge of or experience with:
  • Effective communication techniques with the public, both in person and via telephone.
  • Principles and practices of office administration, file management, record keeping, and case management with minimal supervision.
  • General and specialized office computer systems and applications, as well as multi-line phone systems.
Skills in:
  • Initiating, developing, and maintaining office systems and standard office equipment.
  • Working independently while maintaining confidentiality and composure in a high-pressure environment with shifting priorities.
  • Accurately entering data and numerical information into computer systems while maintaining organized records.
Minimum Qualifications:
  • Bachelor's degree in Business or Public Administration;
  • AND three (3) years of relevant experience;
  • OR any equivalent combination of training, education, and experience that provides the necessary skills and knowledge for the role.
Preferred Qualifications:
  • Familiarity with administrative procedures related to law enforcement.
  • Experience in the public sector or in customer service roles.
Special Requirements:
Possession of or ability to obtain a valid Oregon driver's license. Employment is contingent upon satisfactory completion of a background investigation, including driving record and criminal history checks.
