Administrative Support Specialist

Position Overview:
Pacific Retirement Services is a prominent organization in the senior living sector, seeking a dedicated full-time Administrative Support Specialist to enhance our Community Housing team. This role is essential in providing clerical support and fostering a welcoming atmosphere for residents, guests, and staff.
Key Responsibilities:
- Ensure compliance with U.S. Department of Housing and Urban Development regulations and maintain positive relationships with applicants and residents.
- Oversee building maintenance and office operations to align with efficient inventory management practices.
- Uphold confidentiality and professionalism while managing applicant and resident interactions, adhering to HUD and Community Housing screening processes.
- Deliver high-quality service while collaborating with residents, vendors, staff, and community agencies.
- Assist in the preparation and distribution of community notices and monthly bulletins to keep residents informed about activities and services.
- Facilitate monthly meetings to promote tenant and landlord relations.
- Support the applicant interview process and manage necessary HUD documentation for certifications.
- Prepare monthly invoices and maintain office supply inventory.
- Safeguard confidential resident files and assist in organizing community activities and events.
- Collect rent payments and ensure proper handling of banking deposits in accordance with regulations.
- Manage phone inquiries and direct visitors appropriately.
- Respond to community emergencies as required.
- Perform additional duties as assigned.
Candidate Profile: The ideal candidate will possess a Certified Occupancy Specialist (COS) certification or be actively pursuing it, with a requirement to complete certification within a specified timeframe. A background of one to three years in clerical or related office work is preferred.
Work Schedule: Monday to Friday
Compensation: $18.50 per hour, dependent on experience
