The Opportunity

We are in search of a proactive, service-oriented individual who excels in a dynamic, relationship-focused environment.

In this position, the Project Management Specialist will assist a sales team, oversee and monitor projects from inception to completion, and deliver exceptional customer service to team members, clients, and manufacturers regarding project specifics.


Key Responsibilities:

1. Monitor shipping schedules and deliveries; keep clients informed on progress.

2. Maintain CRM database with bid and project details.

3. Collaborate consistently with Parts, Service, and Accounting (invoicing coordination); generate regular reports.

4. Conduct sales forecasting; support management decisions.

5. Communicate efficiently with team members, clients, and manufacturers regarding project details.

Warranty Management:
1. Order service components.

2. Pursue reimbursements.

3. Confirm order acknowledgments.

4. Track shipments from manufacturers.

5. Manage the receipt and distribution of all project closeout materials to clients, including:
- Installation operation and maintenance manuals (IOMs)
- Warranty documentation
- Spare parts
- Startup reports

6. Assist with the distribution and receipt of submittals.

7. Generate, interpret, and print reports and other necessary materials.

8. Provide clerical support to the sales team, including faxing, copying, and data entry.

Proficient in building and nurturing relationships with clients through effective communication. Committed to understanding the needs of clients, manufacturers, and colleagues, demonstrating patience and active listening.

Environmental and Physical Requirements:

1. This role will involve working in an office setting and frequently in the field.

2. Physical demands include regular use of hands for operating a computer and phone, standing, walking, and sitting. Occasional climbing, balancing, stooping, kneeling, or crawling may be required. Ability to lift and/or move up to 25 pounds is necessary.
