Role Summary:

We are in search of a Project Management Specialist who will collaborate with project managers and specialists to ensure comprehensive execution and oversight of all project components.

Key Responsibilities:

  • Assist in the initiation of projects and the creation of project documentation.
  • Support the setup of projects within the management system.
  • Maintain, oversee, and organize project records and documentation.
  • Prepare, organize, and disseminate bid documents.
  • Engage with subcontractors and suppliers regarding bid requests and project opportunities.
  • Coordinate and gather bids from subcontractors and suppliers to aid Project Managers in formulating precise and timely cost estimates.
  • Ensure project documentation is accurate and current, including contracts, permits, and project plans. Monitor expenses, review invoices, and address any budgetary issues in partnership with the finance team.
  • Assist the project management team in liaising with government entities to secure all necessary project permits, licenses, and variances.
  • Coordinate and track submissions, change orders, schedules, and the distribution of updated construction documents to subcontractors and suppliers.
  • Request completion documents as each trade finalizes their scope before releasing retention and track receipts.
  • Organize and schedule project meetings, take minutes, and distribute them on behalf of the Project Manager. Systematically file project-related documents for easy access and reference.
  • Perform additional tasks and responsibilities as required by the organization.

Qualifications & Skills:

  • Minimum of 2 years' experience in planning/scheduling, cost control, and project administration.
  • Experience with Ajera project management software is essential.
  • An Associate's degree in finance, business, or project management is required.
  • At least 2 years of experience in project administration is necessary.
  • Proficient in Microsoft Office 365, including Excel, Word, and Outlook.
  • Familiarity with Ajera is advantageous.
  • Results-driven with a proven ability to organize, plan, and prioritize tasks to meet deadlines.
  • Excellent verbal, written, and presentation skills; capable of effective communication with management, staff, clients, and vendors.
  • Able to thrive in a fast-paced environment and adapt quickly to meet project and client needs.

Work Schedule:

Monday - Friday, 8:00 AM - 5:00 PM
