Position Summary
We are looking for a detail-oriented and proactive individual to take on the role of Administrative Coordinator / Office Manager. This position is essential for maintaining the efficient operation of our organization, particularly focusing on the administrative functions within our General Contracting division. The ideal candidate will manage various office activities, support corporate events, and facilitate effective communication among teams.

Key Responsibilities:

1. Meeting Coordination and Reporting:
- Compile and report on organizational goals.
- Schedule and organize meetings, managing logistics and communications.

2. Office Management:
- Oversee the procurement of office supplies and ensure adequate stock levels.
- Maintain office organization, including the management of office equipment.

3. Communication Management:
- Manage email distribution lists to enhance team communication.
- Update office displays with relevant information regarding staff and projects.

4. Travel and Event Management:
- Coordinate travel arrangements and maintain the travel calendar.
- Organize corporate events, including celebrations and team-building activities.
- Facilitate onboarding logistics for new hires, including travel and accommodations.

5. Administrative Support:
- Draft and revise job descriptions for various positions within the organization.
- Assist with administrative tasks related to billing and coding.
- Manage incoming correspondence and packages.

6. Employee Engagement and Events:
- Plan and execute employee engagement activities, such as social gatherings.
- Collaborate with HR and other departments to coordinate corporate events.

Qualifications:
- Strong organizational and communication skills.
- Proficiency in Microsoft Office Suite, especially PowerPoint and Excel.
- Experience in scheduling and managing calendars.
- Ability to prioritize tasks effectively and manage multiple responsibilities.
- Familiarity with various platforms is advantageous.

Additional Information:

This role is vital for the seamless operation of our administrative functions, particularly within the General Contracting division. The candidate will act as a key contact for communication, reporting, and event coordination, ensuring that both routine and special projects are executed efficiently. Additional tasks may be assigned as necessary.
