Job Overview

The Office Services Coordinator will oversee a variety of essential functions at a client location. Responsibilities may encompass standard office operations such as document reproduction, mail handling, scanning, hospitality, and reception duties. This role is dedicated to fulfilling client expectations as outlined in the agreement with Loffler Companies, Inc.

Key Responsibilities:

All responsibilities listed below are crucial for the effective performance of this role, with reasonable accommodations provided when necessary. Any non-essential tasks are assumed to be included in "other related duties as assigned":

Fulfillment Duties

  • Prepare and package materials for distribution and shipment.
  • Utilize designated control systems to ensure job accuracy and inventory management.

Mail Operations

  • Receive, categorize, and deliver mail according to client specifications.
  • Prepare outgoing mail using the client’s mailing equipment.
  • Adhere to all postal regulations.

Document Services

  • Produce, finish, and deliver completed documents based on user requests.
  • Employ provided software to schedule and bill for print and copy tasks.
  • Assist with file editing and preparation for printing as needed.

Scanning Tasks

  • Digitally scan original documents into designated locations.
  • Process original documents according to client specifications.
  • Maintain high levels of productivity and accuracy.

Reception Duties

  • Answer phone calls, greet clients and visitors, and perform other assigned tasks.

Hospitality Services

  • Set up conference and event spaces, ensuring meeting areas are clean and stocked.

Courier Responsibilities

  • Manage deliveries within and outside client locations.

Shipping & Receiving

  • Utilize shipping systems (e.g., UPS, FedEx) and client systems for receiving and shipping items.

Other related duties as assigned.

Qualifications:

  • Full-time presence at the client site is required.
  • Ability to work independently with minimal supervision.
  • Capable of performing under pressure and meeting deadlines.
  • Attention to detail and accuracy in handling information.
  • Strong written and verbal communication skills.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • A valid driver’s license and a clean driving record may be necessary.
  • Excellent communication skills, professionalism, and maturity.
  • Demonstrated leadership qualities, good judgment, and decisiveness.
  • Strong organizational and planning abilities.

Education and Experience:

  • Minimum of a High School Diploma or equivalent.
  • Previous customer service experience is preferred.
  • No specific industry experience is required.

Supervisory Duties:

  • May be required to train and develop skills for potential supervisory roles.
