Position Summary:
Indiana Alarm is seeking an Office Coordinator to enhance our operational efficiency. Your organizational expertise will play a crucial role in improving customer interactions and ensuring timely completion of tasks.
Supervisory Responsibilities: None
Key Responsibilities:
- Manage incoming calls, direct inquiries, take messages, and maintain a log of communications as necessary.
- Welcome and guide visitors to the office.
- Maintain a clean and organized office environment; manage office supplies and place orders as needed.
- Perform basic data entry tasks.
- Communicate effectively and promptly respond to messages or correspondence related to clients and staff.
- Assist the office manager in scheduling and confirming service appointments for technicians.
- Prepare invoices for distribution.
- Coordinate fire alarm inspections, confirm schedules with clients, and manage related paperwork.
- Support the office manager in addressing customer inquiries, troubleshooting alarm issues, and providing information.
- Assist with the implementation of new installations, including scheduling and follow-up tasks.
- Perform other job-related duties as assigned.
Required Skills and Qualifications:
Minimum of 1 year of experience in an office or customer service role.
Detail-oriented with strong organizational abilities.
Ability to manage multiple tasks efficiently.
Proactive and self-motivated.
Excellent communication skills, with a focus on phone interactions.

Education and Experience:
High school diploma or equivalent required.
At least 1 year of relevant experience is necessary.
Physical Requirements:
Extended periods of sitting at a desk and using a computer.
