Confidential Posting: Immigration Legal Support Specialist

A distinguished multi-office law firm is in search of a Legal Administrative Coordinator to provide essential support to our Immigration practice group.

Role Responsibilities:

The Legal Operations Assistant plays a crucial role in facilitating legal processes for attorneys by executing a variety of administrative tasks, including scheduling hearings, drafting legal documents, managing case dockets, and offering guidance to clients and colleagues. A minimum of 2 years of experience in assisting Immigration attorneys is required, along with a solid understanding of legal office procedures.

Key Duties:

  • Generate documentation by transcribing, formatting, and inputting legal texts and data, while coordinating case preparations.
  • Support attorneys by reviewing, verifying, and routing legal correspondence and documents; drafting letters; gathering and analyzing information; organizing client meetings; and scheduling necessary services.
  • Manage attorney calendars by planning and scheduling meetings, depositions, and travel; monitoring court dates and filing requirements; and anticipating changes in legal proceedings.
  • Act as a liaison for attorneys by obtaining information and following up on tasks, knowing when to escalate issues.
  • Facilitate revenue generation by documenting billable hours and tracking expenses.
  • Maintain organized filing systems for historical reference, including meeting notes and evidence documentation.
  • Enhance the firm's reputation by taking ownership of new requests and seeking opportunities for improvement.

Office Coordination Duties:

  • Welcome visitors and prepare meeting spaces;
  • Oversee small office operations, including:
    • Receiving deliveries and managing supplies;
    • Coordinating with vendors for services;
    • Collaborating with IT personnel for equipment needs;
    • Serving as the contact for building maintenance.

Qualifications:

A high school diploma and 3-4 years of experience as a Legal Assistant or secretary are essential. The ideal candidate will possess strong customer service skills and the ability to communicate effectively at all levels. Proficiency in Microsoft Office is required.

  • Ability to communicate issues to attorneys promptly;
  • Self-motivated with the ability to work independently;
  • Strong organizational skills to meet deadlines.
