We are currently seeking an Office Coordinator to join our team.

The client for this project is a significant governmental office.

Responsibilities

As an Office Coordinator, you will be responsible for various administrative tasks to support the operations of the unit.

• Execute a full range of professional administrative functions


• Assess all permitting submissions for accuracy and completeness


• Prepare Construction Permits, Certificates of Compliance, and Temporary Approval for Occupancy documents and communicate with clients and staff

• Create weekly meeting agendas and notes for the code staff

• Organize virtual meetings as required for team collaboration

• Maintain project notes in the designated tracking system for code staff

• Monitor review processes for staff submissions


• Engage in daily communication with relevant stakeholders and field personnel

• Process and reconcile expense reports

• Offer general assistance to visitors

• Manage correspondence, emails, and phone inquiries

• Organize project files and documentation



Qualifications
  • A minimum of five years of relevant experience as an Office Coordinator or Administrative Assistant.
  • Proficient in MS Office, Excel, and Outlook, with the ability to attend meetings and accurately document minutes, draft correspondence, and create basic spreadsheets.
  • Strong telephone communication skills and the ability to implement office procedures effectively.
  • Capable of drafting letters and preparing specialized meeting materials.
  • Experience in organizing meetings, including scheduling and distributing agendas and minutes.
  • Familiarity with Microsoft Office Product Suite is preferred (Word, Excel).
  • Ensure the proper functioning and maintenance of office equipment.

-Compensation: Minimum: $21.00ph Maximum: $30.24ph. The range provided reflects the salary that the Firm believes, in good faith, it is willing to pay for the advertised position.

Exact compensation will be determined based on individual qualifications and experience.
