Job Overview:

As a pivotal member of Tia's clinical team, the Senior Clinical Operations Coordinator will oversee the daily activities of Front Desk Associates and Medical Assistants, ensuring seamless clinic operations.

Your primary responsibility will be to facilitate patient flow and enhance the overall clinic experience. In this leadership role, you will also be expected to perform duties of Front Desk Associates and Medical Assistants as necessary. It is crucial that all team members treat patients and visitors with the utmost respect and professionalism.


Key Responsibilities:
  • Maintain a comprehensive overview of clinic operations.
  • Enhance daily efficiency by monitoring appointments, patient movement, and waiting areas.
  • Develop and manage monthly schedules for both back-of-house and front-of-house staff in collaboration with the Clinic Manager.
  • Conduct daily briefings to communicate objectives and strategies.
  • Organize and prioritize daily tasks for team members, providing coverage as needed.
  • Implement training and coaching for Medical Assistants and Front Desk Associates.
  • Prepare for patient appointments by reviewing and updating records in advance.
  • Ensure exam rooms are adequately prepared for various procedures.
  • Uphold patient confidentiality in accordance with HIPAA regulations.
  • Communicate effectively and professionally with patients and the care team to maintain a smooth clinic flow.
  • Adhere to medication management policies and protocols.
  • Maintain cleanliness and sterilization of medical instruments.
  • Manage patient escalations and concerns as they arise.
  • Oversee administrative tasks including patient documentation, inventory management, and appointment accuracy.

Additional Support Responsibilities:
  • Verify insurance statuses as needed.
  • Assist with patient check-in and escorting to exam rooms.
  • Perform basic vital checks and facilitate communication with providers.
  • Maintain cleanliness and organization in communal areas.
  • Coordinate with facilities and vendors for on-site services.
  • Review patient charts in advance to prepare for visits.
  • Support surgical procedures and obtain necessary patient consents.

Minimum Qualifications:
  • High school diploma or GED from an accredited institution.
  • At least 2 years of experience as a Medical Assistant; certification preferred but not mandatory.
  • A minimum of 2-3 years of experience in a healthcare setting, particularly in environments with multiple providers.

Physical Requirements:

The role may require prolonged periods of sitting, standing, and walking. The employee should be able to lift up to 25 pounds regularly and may occasionally need to lift up to 50 pounds with assistance.


Additional Information:

Candidates should be flexible to work evenings and weekends as required. Authorization to work in the US is necessary.
