Role Overview

We are on the lookout for a highly skilled Executive Coordinator with extensive experience in supporting senior leadership. This position demands a keen eye for detail, exceptional organizational abilities, and the capacity to handle multiple priorities in a dynamic environment.

Integrity and discretion in managing confidential information are paramount, as is professionalism in interactions with senior executives both within and outside the organization.

Key Responsibilities
  • Provide direct support to the Executive in executing their responsibilities, including preparing corporate documents and presentations.
  • Review and analyze business-related information and documents.
  • Oversee critical projects and coordinate various business initiatives.
  • Manage the Executive's schedule, organizing meetings, conferences, and travel arrangements.
  • Act as a gatekeeper, screening and prioritizing requests and inquiries.
  • Engage with clients, artists, and high-profile individuals on behalf of the Executive.
  • Organize meetings and presentations, including preparation of documents and taking minutes.
  • Support the Executive's commitments to civic and industry events.
  • Maintain confidentiality and exercise independent judgment in all tasks.
  • Perform additional duties as assigned.
Qualifications

The ideal candidate will possess:

  • A minimum of 10 years of experience in executive support roles for high-level executives.
  • Proven ability to handle sensitive information with discretion.
  • Strong organizational skills and the ability to thrive under pressure.
  • Exceptional problem-solving capabilities and proactive initiative.
  • Experience working with C-Level executives and senior clients.
  • Excellent communication skills, both written and verbal.
  • Advanced proficiency in Microsoft Office Suite and travel logistics.
  • A background in the music or entertainment industry is preferred.
  • Flexibility to adapt to various situations and personalities.
