Administrative Support Role at Innova Solutions
Innova Solutions is currently seeking a highly skilled and organized Administrative Support Specialist to join our team. As an Administrative Support Specialist, you will provide administrative support to the Chief Inclusion & Diversity Officer and the Global Inclusion & Diversity (GI&D) team.
This role involves a variety of administrative duties, including:
- Executive Support: Provide high-level administrative support to the Chief Inclusion & Diversity Officer, including calendar management, travel arrangements, and expense reporting.
- Communication Management: Maintain accurate and up-to-date distribution lists, manage email communications, and ensure timely responses to team members and stakeholders.
- Calendar Management: Schedule and prioritize meetings, appointments, and events, ensuring seamless coordination with team members and external stakeholders.
- Travel & Expense Management: Manage business travel arrangements, including booking flights, hotels, and rental cars, and ensure compliance with company travel policies.
- Department Events & Meetings Management: Plan and execute various events and meetings, including conferences, workshops, and team-building activities.
- Issue Management: Escalate urgent issues for resolution, ensuring timely and effective problem-solving.
- Business Operations Support: Handle purchase orders, office supply orders, and other administrative services, ensuring seamless day-to-day operations.
Qualifications & Experience:
- Education: High School degree or equivalent.
- Administrative Experience: Minimum 2 years of administrative experience, preferably in a similar role.
- Technical Skills: Proficient in Microsoft Suite, including Word, Excel, PowerPoint, and Outlook.
- Desirable Skills: Experience with Concur Travel and T&E, Ariba/SAP, SharePoint, Workday, and Room Scheduler.
- Interpersonal Skills: Strong interpersonal skills, with the ability to work collaboratively across organizational levels.
- Problem-Solving Skills: Ability to prioritize, work independently, and handle confidential matters.
- Professionalism: Represent the department professionally and positively interact with colleagues.
- Team Player: Collaborative team player with a growth mindset and high productivity.
Pay Range and Benefits:
Pay Range: $47.00 per hour.
