The Senior Executive Support Specialist serves as a trusted ally to senior leadership, managing a wide array of administrative duties in a fast-paced, dynamic setting.

This role provides essential support and assistance to senior executives and acts as a key liaison across divisions and with external clients and vendors.

The incumbent will play a vital role in the organization by assisting top executives with scheduling, organization, and administrative responsibilities.

Key Responsibilities:
Act as a point of contact for senior leadership for internal and external communications.
Manage executive calendars, resolving scheduling conflicts by understanding organizational objectives and priorities.
Coordinate and delegate tasks to administrative staff as necessary.
Draft, edit, and disseminate high-quality communications, reports, presentations, and proposals in a timely manner.
Handle sensitive communications and details that are confidential and time-sensitive.

Oversee comprehensive meeting management, utilizing technology for scheduling, video conferencing, and presentation materials.

Take notes or minutes during leadership and stakeholder meetings as required and maintain basic project management protocols.
Engage regularly with senior leadership and high-profile contacts, focusing on relationship building.
Plan and arrange domestic and international travel itineraries and accommodations for senior executives.
Manage financial responsibilities, including updating expense accounts and processing payment requests.
Project a positive and professional image in all interactions with clients, vendors, and staff.
Conduct research and perform additional duties as assigned.
Adhere to ethical standards and comply with applicable laws and regulations.

Education/Experience:
A High School Diploma is required.
A Bachelor's degree is strongly preferred.
5+ years of experience supporting a C-level executive.

Demonstrated proficiency in Microsoft Office Suite, social media platforms, and video conferencing tools such as Microsoft Teams and Zoom, with a willingness to learn new technologies. Exceptional writing, editing, and proofreading skills.
