Position Overview:

We are seeking a dedicated Executive Assistant to provide comprehensive support to our Chief People Officer (CPO) and our Vice President of Business Operations. This role is hybrid, allowing for a blend of remote work and in-office collaboration.

As an Executive Assistant, you will thrive in a fast-paced setting, working alongside passionate team members focused on delivering high-quality results.

Key Responsibilities:
  • Manage the calendars of the CPO and VP of Business Operations, prioritizing and responding to meeting requests in a dynamic environment.
  • Prepare leaders for meetings by ensuring they have all necessary information and materials.
  • Coordinate travel arrangements, meetings, and events, including creating detailed itineraries and managing logistics.
  • Handle expense reports and financial reconciliations efficiently.
  • Plan and execute off-site meetings, collaborating with internal stakeholders and managing budgets.
  • Communicate effectively across all organizational levels on behalf of the CPO and VP.
  • Attend meetings to stay informed about team needs and priorities.
  • Support fellow Executive Assistants with team projects and coverage as needed.
Qualifications:
  • A minimum of 5 years of experience as an executive assistant, ideally within a mid-sized to large technology or security firm.
  • Strong program management skills, including the ability to develop timelines and manage multiple projects.
  • Excellent communication skills, both verbal and written, with a knack for creating professional presentations.
  • Proficiency in Microsoft Office Suite and experience managing calendars and travel arrangements.
  • Ability to thrive in a high-volume, fast-paced environment while maintaining organization and focus.
  • Demonstrated ability to handle confidential information with discretion.
  • A Bachelor’s degree or equivalent professional experience.
