Position Overview
We are in search of a highly skilled and proactive Executive Administrator to deliver top-tier administrative assistance to our co-CEOs and Chief of Staff. This pivotal role entails managing schedules, safeguarding confidential information, and streamlining communication both within the organization and with external stakeholders. The ideal candidate will possess outstanding organizational capabilities, meticulous attention to detail, and the foresight to meet the demands of senior executives in a dynamic setting.
Key Responsibilities
- Efficiently coordinate and oversee intricate schedules, including meetings, appointments, travel logistics, and calls for executives, while proactively addressing potential scheduling conflicts.
- Assist in the planning and execution of internal and external meetings, including offsites and company-wide gatherings, which involves scheduling, sending reminders, securing necessary equipment, organizing catering, and managing visitor logistics.
- Organize domestic and international travel arrangements for executives, encompassing flights, accommodations, transportation, and visa procurement.
- Handle expense reports and reimbursement requests for executives with precision.
- Collaborate as needed to facilitate Board of Director meetings.
- Prepare and arrange materials for all executive meetings, including agendas, presentations, and minutes.
- Foster and maintain positive relationships with internal stakeholders, external partners, and clients on behalf of the executive team, acting as a liaison between executives and other departments or organizations.
- Anticipate the needs of executives and provide proactive support to enhance their productivity and effectiveness, while managing ad-hoc requests and additional duties as assigned.
- Uphold strict confidentiality and discretion in managing sensitive information, including executive correspondence, personnel matters, and strategic initiatives.
Qualifications
- A minimum of 5 years of experience supporting executive or senior leadership teams.
- Advanced proficiency in MS Office Suite, including Outlook, Word, Excel, PowerPoint, One Drive, and SharePoint.
- Experience in arranging both domestic and international travel.
- Ability to prioritize and manage complex issues effectively.
- Capacity to work independently with minimal supervision as well as collaboratively in a fast-paced, dynamic environment.
- Exceptional written and verbal communication skills.
- Highly organized, resourceful, and detail-oriented.
- Professional demeanor, with a positive attitude, proactive approach, and strong work ethic.
- Flexibility to adapt to shifting priorities and a willingness to embrace new challenges as they arise.
- A Bachelor’s degree in business administration, communications, or a related field is preferred.
Logistics
This is a full-time position requiring on-site presence. Candidates must be eligible to work in the United States.
Compensation and Benefits
The compensation for this role will be commensurate with experience and qualifications.
