Job Summary: We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Coordinator. This role offers a unique opportunity to provide critical administrative support while engaging in diverse project coordination, accounting, and marketing tasks.

Responsibilities:

  • Provide administrative support, including data entry, document management, and expense report processing.
  • Compose, organize, and maintain reports, documents, and records.
  • Order office supplies, manage inventory, and ensure stock levels are maintained.
  • Coordinate meeting facilities and manage arrangements.
  • Handle confidential information with professionalism and discretion.
  • Assist with budgeting, planning, and tracking project expenses and spending projections.
  • Support technical staff and project managers with high-level project coordination tasks.
  • Facilitate remote collaboration through conference calls and online meetings.
  • Analyze data and develop methods for trend analysis and presentation.
  • Monitor, track, and organize electronic documentation; assist with project scheduling and filing.
  • Support the Quality Program by documenting reviews, updating QA/QC documentation, and ensuring compliance with quality guidelines.
  • Manage project guides, reviews, invoices, and expense reports as needed.
  • Coordinate meetings, assist with presentations, and archive closed projects.
  • Perform other duties as needed.

Preferred Qualifications:

  • Bachelor's degree in business administration or related field.
  • Experience with Adobe InDesign is a plus.
  • Knowledge of the A/E industry is desired.
  • Excel proficiency.
  • Preference given to local candidates.

Required Qualifications:

  • High school diploma or equivalent.
  • Excellent verbal and written communication skills, including grammar, punctuation, proofreading, spelling, and telephone skills.
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment.
  • Self-motivated, well-organized, and detail-oriented.
  • Ability to handle confidential information.
  • Proficiency with MS Office, including Word and Outlook.
  • An attitude and commitment to being an active participant of our employee-owned culture is a must.
