Project Manager Role Overview
Reporting Structure
The Project Manager will report directly to the Director of Construction and the firm's ownership. This role encompasses the oversight and management of all phases of construction projects, including estimating, preconstruction, construction, and post-construction activities, often with minimal administrative support.
Key Responsibilities
Estimating Responsibilities:
Pre-bid Phase
- Participate in pre-bid meetings to discuss project details with ownership and marketing.
- Assist in generating a bid list for subcontractors and suppliers tailored to the project requirements.
- Review project plans and specifications thoroughly.
- Collaborate with the Estimator to create an estimate template based on project documentation.
- Engage in discussions with the Estimator, Marketing, and Director of Construction to clarify project and proposal needs.
- Attend pre-bid walkthroughs and meetings.
- Review pre-bid RFIs prior to submission to the client/design team.
- Develop a comprehensive job schedule and determine general conditions.
Bid Day Activities
- Coordinate with the team to ensure a thorough review of all subcontractor bids.
- Assist in final bid discussions to confirm costs and fees.
Post-Bid Responsibilities
- Support the Estimator with follow-up inquiries from the owner/design team.
- Facilitate project handoff meetings with the Estimator and Director of Construction.
- Assist with subcontractor buyout processes.
Preconstruction Duties
- Oversee the progress of the Assistant Project Manager/Coordinator in job setup and budget management.
- Ensure timely procurement of subcontractor and supplier purchase orders.
- Participate in project handoff meetings and monitor preconstruction checklists.
- Manage project documentation and approvals, including building permits.
Construction Management
- Ensure a safe and organized job site in collaboration with the Superintendent.
- Track RFIs and manage material procurement.
- Oversee the creation of change orders and accurately code invoices.
- Conduct regular meetings with subcontractors and maintain project documentation.
- Monitor project schedules and budgets, ensuring effective communication with all stakeholders.
Project Closeout
- Coordinate final inspections and ensure all necessary paperwork is completed.
- Manage the final punch list and assist with subcontractor closeouts.
- Compile all product information and warranties for the Operation & Maintenance Manual.
