About the Role

We are seeking a highly skilled and experienced Executive Assistant to join our team at Andersen Group Realty of Keller Williams Realty Boston Northwest. As a key member of our organization, you will provide top-tier administrative support to our CEO and team, ensuring seamless execution of daily operations and strategic initiatives.

Key Responsibilities
  • Calendar Management: Oversee and maintain the executive's calendar, scheduling all calls, meetings, conferences, and appointments, both personal and professional.
  • Communication Handling: Answer phone calls and emails, return messages, and route inquiries to the appropriate individuals to ensure efficient use of the CEO's time.
  • Travel Coordination: Create and manage travel itineraries, preparing all necessary materials (both electronic and paper), and arrange CEO's travel, teaching engagements, vacations, and personal appointments.
  • Meeting Documentation: Take detailed notes during meetings, prepare minutes for distribution, and provide daily morning agenda updates to the CEO, including appointments and action items.
  • Schedule Organization: Coordinate the CEO's daily schedule, including managing the calendar, prioritizing tasks, and preparing for all appointments and meetings.
  • Client Interaction: Document client meeting notes, create action items, and delegate tasks as needed. Build and maintain relationships with current, potential, and past clients.
  • Event Coordination: Organize and manage events for the CEO and company, including speaking engagements and marketing-related activities.
  • Content Creation: Assist with strategizing and creating engaging content for the CEO's social media channels.
  • Project Assistance: Complete special projects for the CEO and team as required.
  • Appointment Support: Attend listing appointments with the CEO, within standard office hours.
Requirements
  • Commuting Requirement: Must be willing to commute to and work in our office. This is not a remote or hybrid role.
  • Experience: Proven experience as an Executive Assistant is essential. Real estate experience is advantageous but not required.
  • Education: Bachelor's Degree required.
  • Technical Skills: Proficiency with a variety of computer software applications is necessary. Experience with iPhones and Apple products is highly preferred.
  • Social Media Knowledge: Must be familiar with current social media trends, apps, and content creation strategies. Experience in engaging and growing an online audience is a plus.
  • Organizational Skills: Strong organizational abilities with a keen eye for detail, capable of managing and prioritizing multiple tasks efficiently.
  • Communication Skills: Excellent verbal and written communication skills, with a strong attention to detail in composing, typing, and proofreading materials.
  • Interpersonal Skills: Charismatic and personable, with the ability to handle sensitive and confidential situations with poise, tact, and diplomacy.
  • Decision-Making: Capable of making quick, effective decisions, solving problems, and maintaining confidentiality with minimal supervision.
  • Adaptability: Ability to meet deadlines, stay calm under pressure, and adapt to a fast-paced, evolving environment.
  • Independence and Direction: Able to work independently on assigned tasks while also following directions and accepting feedback on assignments.
