Administrative and Customer Service Specialist

The role of the Administrative and Customer Service Specialist involves a range of clerical and financial tasks that are essential for maintaining and processing accounts payable records and invoices for various clients and vendors associated with goodbookin LLC.
Key ResponsibilitiesThe primary duties encompass, but are not limited to:
- Managing daily Accounts Payable (A/P) reports utilizing software tools (Quickbooks Desktop & Appfolio).
- Receiving, verifying, and processing invoices and requisitions for goods and services.
- Inputting invoices for payment into the financial system.
- Generating backup reports post data entry.
- Handling weekly check processing and accurately recording all transactions in the accounting software.
- Preparing vendor checks for distribution and maintaining a log of all transactions.
- Issuing manual checks as necessary.
- Completing various financial forms, including tax and inventory order forms.
- Establishing and maintaining confidential employee and business files.
- Calculating compensation rates for benefits and salaries as required.
- Verifying employee pay details for accuracy.
- Ensuring proper coding and obtaining necessary approvals for financial documents.
- Maintaining organized inventory and financial records, both electronically and physically.
- Documenting administrative and office expenditures in the accounting system.
- Producing regular financial statements and reports for management review.
- Ensuring compliance with company financial policies and procedures.
- Providing professional customer service to clients, vendors, and visitors.
- Performing additional duties as assigned.
To be considered for this position, candidates should possess:
- A high school diploma or G.E.D. equivalent.
- A minimum of two years of experience in Accounts Payable and/or payroll functions.
- A combination of relevant education and experience may be acceptable.
- A foundational understanding of accounting principles and practices.
- Proficiency in Quickbooks (required) and familiarity with Appfolio (preferred, training available).
- Competence in Microsoft Office applications (Word, Excel, Outlook).
- Strong computer skills, including 10-Key proficiency and a typing speed of at least 40 WPM.
- Effective communication skills in English, both written and verbal.
- The ability to handle confidential information with discretion.
- A high level of accuracy in financial data entry and management.
- Strong analytical and problem-solving abilities.
- Excellent time management skills, with the capability to prioritize tasks and meet deadlines.
The physical demands of this position require regular communication and interaction. Employees may need to use their hands for various tasks and occasionally lift up to 25 pounds. The work environment typically maintains a low to moderate noise level.
