Job Overview:

The role involves providing comprehensive clerical and administrative assistance, which may encompass drafting and typing correspondence, reports, charts, and graphs utilizing various software applications such as word processors, spreadsheets, databases, and presentation tools. Responsibilities include basic bookkeeping, managing phone calls and visitors, organizing agendas, and arranging travel for meetings and special events, as well as overseeing the supervisor's and department's calendar. The position also entails maintaining the Principal Investigator's calendar, scheduling, and coordinating all travel and reimbursement processes. Additional duties include supporting the maintenance of the Principal Investigator's CV and biographies and assisting with letter writing tasks.

Key Responsibilities:

Documentation & Databases
  • Prepares manuscripts and various scientific, technical, or statistical documents.
  • Proofreads for spelling and grammatical accuracy.
  • Inputs data into spreadsheets and databases.
  • Compiles routine reports, statistics, tables, and charts from available information.
Coordination
  • Manages the supervisor's and department's calendar.
  • Arranges registration and travel logistics.
  • Coordinates events, including scheduling venues and guest speakers, and organizing necessary materials, technology, and refreshments.
Communication
  • Provides information through various channels including phone, email, and mail.
  • Acts as a representative for the supervisor in standard situations with various personnel both internally and externally.
  • Performs additional duties as assigned.
Minimum Qualifications:
  • A high school diploma or equivalent is required.
  • Two years of administrative support or relevant experience is required.
Minimum Competencies:
  • Intermediate proficiency in word processing, spreadsheet, email, and database software is essential.
Preferred Qualifications:
  • At least two years of prior administrative support experience.
Preferred Competencies:
  • Familiarity with the Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Highly organized and proactive approach to tasks.
Compensation:
The target hiring range for this position is between $20.00 and $23.00 per hour. The offered salary will be determined based on the applicant's education, experience, knowledge, skills, and abilities, as well as internal equity and market alignment.
