Position Summary: The Accounts Payable Clerk is responsible for executing a range of accounting clerical duties associated with the management and processing of payable account records and invoices for various clients and vendors of Goodbookin LLC. This role also involves payroll responsibilities to ensure timely and accurate employee compensation.
Key Responsibilities:The primary duties include, but are not limited to:
- Generating daily Accounts Payable (A/P) reports using accounting software (Quickbooks Desktop & Appfolio).
- Receiving, verifying, and processing invoices and requisitions for goods and services.
- Entering invoice data for payment processing.
- Compiling backup reports post data entry.
- Managing weekly check runs and recording all transactions in accounting software.
- Preparing vendor checks for distribution and maintaining a log of all checks issued.
- Issuing manual checks as necessary.
- Handling specific financial documentation (e.g., tax forms, inventory orders).
- Establishing and maintaining confidential employee and business files.
- Calculating compensation rates for benefits and salaries as needed.
- Verifying employee pay details, including hours worked and deductions.
- Ensuring proper coding and obtaining necessary signatures for financial records.
- Maintaining organized inventory and financial document files, both electronically and physically.
- Recording administrative and operational expenses in accounting software.
- Producing daily, weekly, and monthly financial statements and reports for management review.
- Ensuring compliance with financial policies and procedures set by the company.
- Providing professional customer service to clients, vendors, and visitors.
- Performing additional duties as assigned.
Minimum Requirements:
- High school diploma or G.E.D. equivalent.
- At least two years of experience in Accounts Payable and/or payroll functions.
- Equivalent combination of education and experience will be considered.
- Basic understanding of accounting principles and practices.
- Proficiency in Quickbooks is required; experience with Appfolio is preferred but training will be provided.
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook).
- Strong computer skills, including 10-Key proficiency and typing speed of at least 40 WPM.
- Effective communication skills in English, both written and verbal.
- Ability to handle confidential information with discretion.
- High level of accuracy in financial data entry and reporting.
- Strong analytical and problem-solving abilities.
- Excellent time management skills with the ability to prioritize tasks and meet deadlines.
The physical demands of this position require regular communication and interaction. Employees may need to use their hands for various tasks and occasionally lift or move items weighing up to 25 pounds. The work environment is typically low to moderate in noise level.
