Job Summary:
The Program Assistant 3 for Medill is responsible for coordinating administrative processes, prioritizing tasks, and resolving business-related issues to uphold the operational excellence of the school.
This role entails providing comprehensive administrative support as Medill's Program Assistant on Assignment, catering to various departments and programs across the school as needed, including support for the Medill Dean's Office. Establishing collaborative working relationships within the Medill Dean's Office and across faculty and staff is essential.
Key Responsibilities:
Document Management:
- Independently manages correspondence and documentation.
- Develops and maintains standard spreadsheets and databases.
- Prepares reports, statistics, and visual data representations based on collected information.
- Analyzes data to determine trends and insights.
- Oversees website and blog maintenance.
- Updates content and creates new web pages as necessary.
- Maintains accurate financial records.
- Processes and reconciles expenses and accounting transactions.
- Generates financial reports and summaries.
- Facilitates HR processes, including new employee orientation.
- Addresses hiring and termination-related issues.
- Manages departmental calendars and schedules.
- Organizes travel arrangements and event logistics.
- Collects agenda items and prepares background materials.
- Provides administrative support for student services, including recruitment and admissions.
- Reviews and recommends changes to administrative processes related to student services.
- Oversees the work of temporary and work-study students.
- Collaborates with colleagues to enhance Medill's strategic objectives and improve student experiences.
- High school diploma or equivalent required.
- Four years of relevant administrative support experience required.
- Bachelor's degree or equivalent relevant experience.
- Experience in a university environment and/or customer service.
