Position Summary:

We are in search of a skilled administrative professional to enhance our client's operations in Evanston, IL. The successful candidate will exhibit exceptional organizational skills, a proactive mindset, and the ability to oversee essential administrative and operational functions. This position entails supporting team leadership, managing international travel arrangements, and facilitating various projects and events.

Core Responsibilities:

  • Deliver extensive administrative assistance to a team of approximately five members.
  • Oversee calendars and arrange travel logistics, particularly for international trips.
  • Contribute to the development of PowerPoint presentations and other promotional materials.
  • Guide new team members on processes and technologies.
  • Screen incoming calls, manage vendor relationships, and handle email communications to enhance managerial efficiency.
  • Organize travel details, including itineraries and visa applications.
  • Coordinate both internal and external meetings and activities.
  • Prepare and structure documents for meetings and presentations.
  • Address and resolve issues with both internal and external parties.
  • Manage special projects with stringent deadlines.
  • Provide backup support for front desk reception duties.

Required Qualifications:

  • At least 2-3 years of experience in a coordination role or similar, ideally in a dynamic environment.
  • A Bachelor's Degree is highly preferred.
  • Proficiency in MS Office is essential; familiarity with SAP and Concur is advantageous.
  • Experience in arranging international travel, whether professionally or personally.
  • Strong attention to detail and a commitment to precision.
  • Type A personality with a proactive and assertive approach.
  • Able to learn quickly with a curious mindset and innovative problem-solving skills.

Additional Information:

  • Reports to the Admin Manager while supporting a global team of five individuals.
  • Training will be provided by the Admin Manager and other team members, with assistance from administrative staff based in Evanston.
