Administrative Coordinator

The University of New Mexico Comprehensive Cancer Center Research Administration office is seeking an experienced Administrative Coordinator to perform a wide range of administrative, secretarial, and program support activities. The successful candidate will act as the primary point of direct administrative contact, coordination, and liaison with other offices, individuals, and external institutions and agencies on a range of complex operational and administrative issues.
Key Responsibilities- Provides confidential secretarial and administrative support for the Cancer Center Research Administration (CCRA)
- Manages the CRF conference room calendars, makes travel arrangements, greets and directs visitors respectfully and professionally
- Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; assists in organizing and facilitating meetings, conferences, and other special events as needed
- Gathers, enters, and/or updates data to maintain departmental records, databases, CRF directories, and the UNMCCC phone directory as needed
- Assists in routing documents for approval and signatures through Adobe sign or other mechanism
- Oversees the day-to-day management and ordering of supplies, may assist with inventory management as needed
- Receives and distributes incoming mail
- Functions as the unit's P-card holder to purchase CCRA supplies, travel costs, conference/membership fees, reimbursements and various other costs incurred by faculty, staff and students. Updates CCRA purchasing database as needed for purchases made
- Assists with assigning and disseminating of CRTC Admin Parking Spaces for visitors to the CRF
- Makes travel arrangements for faculty, staff and students following UNM Travel policy as needed
- Processes student travel awards for various programs including being main point of communication for gathering documentation, travel arrangements, travel purchases and processing reimbursements according to award guidelines and UNM travel policy and track all award travel purchases
- Performs miscellaneous job-related duties as assigned
- High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified
- Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis
- Experience in UNM Systems including but not limited to: MyReports, Banner 9 reporting, LoboTime, Chrome River

Its more than 136 board-certified oncology specialty physicians include cancer surgeons in every specialty (abdominal, thoracic, bone and soft tissue, neurosurgery, genitourinary, gynecology, and head and neck cancers), adult and pediatric hematologists/medical oncologists, gynecologic oncologists, and radiation oncologists.
