Job Title: Administrative Coordinator

Join the University of New Mexico Comprehensive Cancer Center Research Administration team as an Administrative Coordinator. This role is responsible for providing administrative support to the Cancer Center Research Administration office.

Key Responsibilities:
  • Provide confidential secretarial and administrative support to the Cancer Center Research Administration office.
  • Manage the CRF conference room calendars, make travel arrangements, and greet and direct visitors respectfully and professionally.
  • Serve as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues.
  • Assist in organizing and facilitating meetings, conferences, and other special events as needed.
  • Gather, enter, and/or update data to maintain departmental records, databases, CRF directories, and the UNMCCC phone directory as needed.
  • Assist in routing documents for approval and signatures through Adobe sign or other mechanism.
  • Oversee the day-to-day management and ordering of supplies, may assist with inventory management as needed.
  • Receive and distribute incoming mail.
  • Function as the unit's P-card holder to purchase CCRA supplies, travel costs, conference/membership fees, reimbursements, and various other costs incurred by faculty, staff, and students.
  • Assist with assigning and disseminating of CRTC Admin Parking Spaces for visitors to the CRF.
  • Make travel arrangements for faculty, staff, and students following UNM Travel policy as needed.
  • Process student travel awards for various programs, including being the main point of communication for gathering documentation, travel arrangements, travel purchases, and processing reimbursements according to award guidelines and UNM travel policy.
  • Perform miscellaneous job-related duties as assigned.
Requirements:
  • High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year-for-year basis.
Preferred Qualifications:
  • Experience in UNM Systems, including but not limited to: MyReports, Banner 9 reporting, LoboTime, and Chrome River.
Additional Requirements:
  • Finalists should be prepared to provide official educational transcripts if selected for hire.
  • Applicants must provide names of 3 professional references that the hiring official can contact.
