Job Title: Administrative Coordinator: Central Accounting Support

The University of New Mexico, Office of the University Controller, is seeking an Administrative Coordinator to provide support to the Contract and Grant Accounting department. The successful candidate will be responsible for providing administrative support, maintaining equipment logs, and assisting with HR functions.

Key Responsibilities:
  • Provide administrative support to the Contract and Grant Accounting department, including welcoming customers, managing email accounts, and handling purchases.
  • Maintain the department's equipment log to ensure all equipment is properly maintained and accounted for.
  • Assist with general HR functions, such as onboarding new team members and serving as a source for information.
  • Manage the daily check log for incoming payments, ensuring compliance with UNM policies and procedures.
  • Aid in basic Chrome River approvals to streamline processes.
  • Supervise and mentor student employees, ensuring tasks are completed promptly and accurately.
  • Oversee electronic file retention, keeping records up-to-date and organized.
  • Coordinate the verification of Principal Investigator Financial Responsibility statements on sponsored awards.
  • Support award closeouts and help with coordination efforts.
Requirements:
  • High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications:
  • Experience providing excellent customer service.
  • Experience in being flexible and adaptable to sudden change.
  • Experience in coordinating multiple projects at one time.
  • Experience in supervision or leading a team.
  • Effective time management skills to prioritize multiple ongoing work tasks to meet deadlines.
  • Ability to communicate effectively at different levels of organization, both verbally and in writing.
  • Experience in MS Outlook, Word, and Excel.
  • Ability to learn, understand, and apply University policies.
