Overview:


The Human Resources and Administrative Coordinator operates primarily in an office environment, engaging with colleagues, program participants, and community members regularly.

This role involves supporting various functions that enhance the program's effectiveness and the organization's overall operations.

The Coordinator will report directly to the Operations Director.

Key Responsibilities:

Program Assistance:
Provide necessary support with the administrative components of participant selection, enrollment, and onboarding processes.
Assist in evaluating selection forms.
Conduct data entry and maintain tracking within the organizational database.
Help coordinate food deliveries and manage the receipt and distribution of event and holiday donations.
Monitor and follow up on team assignments.
Support the Program Leadership Team as needed.

Administrative Duties:
Assist with the onboarding process for new hires.
Oversee office supplies and clubhouse inventory management.
Arrange meals for staff, board, and off-site meetings.

Provide meeting support for board and committee sessions, including minute-taking, preparation of materials, and attendance tracking.

Sort and distribute mail; occasionally handle bank deposits.
Ensure cleanliness and organization of common areas.
Manage vendor relationships.
Foster a professional and collegial workplace atmosphere.
Welcome staff, children, visitors, and community members with a friendly and professional attitude.
Assist with reconciling monthly financial and credit card statements as needed.

During fundraising initiatives, support the organization, tracking, and transportation of items related to events; assist with setup and breakdown tasks.

Provide additional assistance to Management and Staff as required.

Human Resource Responsibilities:
Serve as a backup for expense reimbursement and payroll processing, with experience in payroll and expense management systems.
Assist in conducting background checks for new hires and re-checks for current staff.
Monitor employee car insurance coverage and secure proof of renewals.
Track staff certifications in First Aid and CPR, coordinating recertification as necessary.

Essential Skills and Qualifications:
The ideal candidate will thrive in a dynamic, collaborative work environment, embracing the challenges of a growing organization, and will possess:
A high school diploma or equivalent; an Associate's or Bachelor's degree is preferred.

Three or more years of relevant experience, ideally including office management and some human resource functions.

Ability to work effectively with staff, children, families, and external parties from diverse backgrounds.

Exceptional organizational and time management skills.

Capability to plan and execute multiple projects simultaneously, meeting deadlines and ensuring follow-up.

Strong written and verbal communication skills, with experience in providing meeting support, including minute documentation.

A positive, team-oriented attitude, complemented by a sense of humor.

Proactive problem-solving skills and the ability to anticipate and address issues.

Ability to effectively manage upward and support the team in meeting deadlines and following through on details.


Proficient in MS Office 365, particularly in Word and Excel, with the ability to produce high-quality correspondence and reports.


Additional Requirements:
Maintain a valid driver's license, a good driving record, and vehicle insurance.
Keep First Aid/CPR certification current.
Must be capable of lifting up to 30 pounds.

Work Schedule:
This is a part-time, hourly, non-exempt position.

Generally, the work schedule is flexible, with occasional adjustments to accommodate meetings, fundraising events, and other activities.


Compensation:
This part-time, non-exempt position offers an hourly rate ranging from $26.44 to $28.36.

Benefits:
Due to the part-time nature of this role, benefits are not available.
