We are currently seeking a full-time Clinical Unit Administrator to enhance our dedicated team. Excellent interpersonal skills and a steadfast commitment to patient care are essential, along with the ability to work effectively with both patients and healthcare professionals.

Key Responsibilities:

  • Facilitate patient visits, ensuring all orders are processed, including follow-up appointments, and provide patients with the After Visit Summary.
  • Assist in managing phone overflow from the Call Center.
  • Monitor patient flow, maintain updated wait time metrics, and assist with Medical Assistant rounding.
  • Handle incoming calls, take messages, and provide routine information as per established protocols.
  • Support the retrieval of lab reports, hospital documentation, dictations, x-rays, and other correspondence.
  • Coordinate patient scheduling for testing procedures.
  • Assist with authorization processes for testing as required.
  • Review and assist with the physician's patient schedule alongside the receptionist.
  • Collaborate with Medical Assistants and other staff to ensure high-quality patient care.
  • Engage in task groups and respond to daily assignments.
  • Manage and document prescription refills as necessary.
  • Record all clinical transactions in the electronic medical records in accordance with clinic policies.
  • Retrieve patient x-rays from various PACS systems to support physician and patient flow.
  • Interact positively with physicians, staff, and patients to uphold the quality of care at NORTHWEST SURGICAL.
  • Distribute patient materials and assist with patient education and application processes.
  • Ensure that unit supplies are adequately stocked in both the unit and examination rooms.
  • Stay informed on OSHA and HIPAA regulations.
  • Work at various NORTHWEST SURGICAL locations as scheduled by the supervisor.
  • Participate in required meetings, in-services, and committees as needed.
  • Maintain confidentiality and adhere to all HIPAA regulations.
  • Perform additional duties as assigned.

Qualifications:

  • High school diploma or GED; Medical Terminology coursework is preferred.
  • Two years of experience in a medical office setting; experience in Neurosurgery or Orthopedics is preferred.
  • Customer service experience is advantageous.
  • Familiarity with healthcare environments, including medical office policies and human resource practices.
  • Strong analytical skills and the ability to develop and manage complex schedules independently and collaboratively.
  • Excellent written and verbal communication skills.
  • Proficient in problem identification and resolution, decision-making, and implementing changes.
  • Ability to prioritize, organize, and coordinate work in a dynamic environment with varying patient volumes.
  • Knowledge of safety hazards and precautions to maintain a secure work environment.
  • Skilled in building and maintaining effective relationships with patients, medical staff, and the public.
  • Ability to remain calm and effective in emergency situations.
  • Understanding of the broader impact of the role within the unit.
