Position Overview

Title: Executive Administrative Assistant (Full-time, 40 hours/week)

Department: Administration/Corporate Office

Key Responsibilities:

  • Provide direct assistance to the President/CEO, CFO, VP of Communications & Stewardship, and Director of Community Services.
  • Organize meeting logistics and hospitality arrangements.
  • Draft standard correspondence and record meeting minutes.
  • Prepare materials for committee and board meetings.
  • Review and edit documents for accuracy and clarity.
  • Coordinate and manage mailings, including mail merges.
  • Design basic signage, flyers, and postcards.
  • Welcome and assist visitors to the office.
  • Maintain records for church delegates, board members, and committee participants.
  • Follow up with constituents to address inquiries or collect information.
  • Assist in the coordination of events and manage reservations for meetings and activities.
  • Oversee general office management tasks, including supply monitoring and mail sorting.
  • Availability for occasional evening and weekend hours is required.

Qualifications:

  • Preferred degree in Office Administration or Administrative Services.
  • Minimum of 3 years of experience in executive-level support.
  • Proficient in MS Office Suite with expert-level skills.
  • Experience with database management, including record entry and updates.
  • Exceptional spelling, grammar, and proofreading abilities with a keen eye for detail.
  • Ability to manage multiple deadlines effectively.
  • Exhibit a friendly, confident, and professional demeanor.
