Job Overview

Position Title: Foundation Grants Coordinator

Compensation Range: $65,000 - $68,900 annually, equivalent to $33.33/hr - $35.33/hr

Employment Type: Full-Time, Non-Exempt, Hourly

This role requires in-office attendance for the initial period of 100 days, with a schedule of five days per week. After this period, employees may work remotely for two days weekly, with mandatory in-office attendance on Tuesdays and Wednesdays.

Position Summary: The Foundation Grants Coordinator plays a crucial role in managing all aspects of foundation grants and scholarship programs. This includes overseeing grant structures, ensuring compliance with regulations, and providing educational resources regarding grants to both internal staff and external stakeholders. Responsibilities extend to fund and nonprofit management, addressing inquiries related to grants, competitive applications, online systems, and grant reporting. The position also involves supporting the administration and oversight of discretionary grantmaking.

Key Responsibilities:

Grants Oversight:

Donor-Initiated Grants: Responsible for evaluating and processing donor-initiated grants and disbursements. This includes analyzing fund assets, conducting organizational due diligence, and assessing overall grant compliance with federal laws and foundation policies. The role requires maintaining the integrity of all grant data and managing the entire process from request to disbursement.

Discretionary Grants: Approves grants from established restrictive funds and manages the staff matching grants program. Provides administrative support for priority grantmaking areas, including reviewing Letters of Intent, executing grant agreements, tracking budgets, and ensuring compliance with docket requirements. Engages in site visits and application reviews for special initiatives.

Scholarships: Oversees a designated portfolio of scholarship funds, collaborating with fund contacts to establish appropriate structures and ensure adherence to federal regulations. Manages award notifications, disbursements, and multi-year scholarship monitoring.

Client Relations: Acts as the primary contact for various external stakeholders, including fund contacts, scholarship committees, and grant applicants. Responsibilities include:

  • For donor and fiscal sponsorship contacts: Providing information on fund operations, grantmaking practices, and foundation policies. Collaborates with Donor Relations and Operations teams to ensure high-quality service.
  • For scholarship funds: Managing scholarship structures and processes, serving on committees, and guiding fund contacts toward effective scholarship practices.
  • For grant applicants: Offering insights into grant opportunities and supporting nonprofits throughout their grant lifecycle.

Grants Processes and Compliance: Ensures adherence to policies and procedures related to grants and fund management. Stays informed on IRS regulations and common foundation practices to enhance service delivery. Collaborates with teams to streamline grantmaking processes and improve efficiency.

Reporting and Documentation: Assists with grants-related reporting and ensures the accuracy of grants data. Provides training on database usage for staff involved in grant entry and management.

Staff Development: Conducts training sessions for new and existing staff on grantmaking practices and database systems, refining materials as necessary.

Interdepartmental Coordination: Serves as a liaison across departments to ensure effective grants management and service delivery, facilitating improvements in discretionary grantmaking processes.

General Responsibilities: Collaborates with other departments and participates in interdepartmental teams to support the efficient operations of the foundation. Maintains a cooperative attitude with supervisors and colleagues.
