Job Description

Overview

We are looking for a meticulous and proactive Senior Executive Assistant to provide essential support to our executive leadership. The successful candidate will demonstrate exceptional organizational skills and the ability to manage a variety of administrative and executive support tasks efficiently.

Compensation:

$25 - $30 hourly

Key Responsibilities:

Executive Support:

  • Deliver comprehensive administrative assistance to executives, including managing schedules, coordinating technology needs, and overseeing project timelines.
  • Facilitate communication between executives and team members, ensuring clarity and coordination.

Operational Management:

  • Support the creation and execution of operational strategies and procedures to enhance efficiency and productivity.
  • Collaborate with various departments to optimize operations and address any issues that arise.

Project Management:

  • Oversee projects on behalf of executives, ensuring timely completion and achievement of goals.
  • Conduct research, compile reports, and present findings to aid in strategic decision-making.

Data Administration:

  • Maintain accurate records and databases, including contact information, vendor details, and project documentation.
  • Analyze data and produce reports to monitor key performance indicators and operational metrics.

Meeting Coordination:

  • Organize and manage meetings, conferences, and events, both internally and externally.
  • Prepare meeting agendas, materials, and presentations, and follow up on action items as necessary.

Communication:

  • Draft and edit correspondence, emails, and other documents on behalf of executives.
  • Act as a point of contact for inquiries and requests, providing timely and professional responses.

Office Management:

  • Oversee general office operations, including managing office supplies, equipment maintenance, and facility coordination.
  • Assist with the onboarding of new employees and support HR-related tasks as required.
Qualifications:
  • Minimum of 2 years in a personal assistant or executive assistant role, or similar experience.
  • Outstanding time management, organizational, interpersonal, and communication skills.
  • Proven ability to handle confidential information and meet strict deadlines.
  • Proficient in Microsoft Office Suite.
  • High school diploma or G.E.D. required.
