Position Summary:

The Sales and Events Coordinator will deliver comprehensive administrative support by conducting thorough research, preparing detailed reports, addressing guest concerns, and performing clerical tasks such as drafting correspondence and managing event logistics for multiple hotels. This role also entails being present on-site before and during events to ensure flawless execution according to the established contracts and event orders. Flexibility in work hours, including evenings and weekends, is essential to meet business demands. Additional responsibilities may be assigned by management as needed.

Key Responsibilities:

  • Manage booking inquiries through various channels, qualify potential business, and prepare necessary documentation including evaluations, proposals, contracts, and event orders.
  • Generate leads for group and function room bookings through research and outreach.
  • Maintain and update the sales database to track account activity and ensure timely reporting.
  • Organize and manage essential records to support departmental operations.
  • Create and oversee group blocks within the property management system.
  • Assist clients with event planning from initial inquiry through to successful execution.
  • Participate in regular meetings and coordinate communication across departments for daily operations.
  • Support guest satisfaction initiatives and adhere to company guidelines for service excellence.
  • Engage in training and development opportunities as required by the organization.

Qualifications:

  • High School Diploma or equivalent.
  • Fluency in English, both written and spoken.
  • Strong communication and interpersonal skills.
  • Ability to work varied shifts, including nights and weekends.
  • Proficiency in Microsoft Office 365.
  • Attention to detail and strong organizational skills.

Physical Requirements:

This position requires regular sitting, standing, and walking, as well as the ability to lift items up to 15 pounds. Vision capabilities necessary for this role include close vision for computer work.
