POSITION OVERVIEW

The Events Administrator is integral to the successful execution of various events throughout the year. This role encompasses the management of event RSVPs, the development of event websites, and the acquisition of silent auction contributions. The Events Administrator will also oversee the OneCause event management software and participate in all relevant training sessions to optimize our utilization of the platform.

KEY RESPONSIBILITIES
  • Event Planning and Promotion: Support the operations of all events, including major fundraising initiatives and community gatherings.
  • Event Management Systems: Create, oversee, and maintain event sites utilizing the OneCause event management system and other tools, ensuring precise guest list management and ticket processing. Engage in ongoing training to improve platform proficiency.
  • On-Site Event Support: Provide operational assistance during major events to guarantee seamless execution.
  • Administrative Assistance: Offer support to the Director of Development Operations as needed.
  • Inventory Oversight: Maintain an inventory of event materials, ensuring availability for each occasion and notifying supervisors of low stock.
  • Meeting Documentation: Record notes during event-related meetings for accurate historical reference.
  • Progress Meetings: Attend weekly meetings with supervisors to review event planning and execution progress.
  • Marketing Assistance: Aid in the editing of promotional materials and graphic design on the OneCause platform.
  • Silent Auction Coordination: Secure donations for year-round silent auctions through online request forms and participate in committee meetings.
  • General Support: Perform additional tasks as required to enhance the effectiveness of the development department.
QUALIFICATIONS
  • Education: A college degree is preferred.
  • Event Planning Experience: Prior experience in event planning is advantageous but not mandatory.
  • Technical Proficiency: Strong computer skills with a willingness to learn specialized software.
  • Initiative and Creativity: A proactive self-starter with innovative thinking and the ability to work independently.
  • Team Collaboration: A cooperative team player capable of working effectively with staff at all levels.
  • Organizational Skills: Proficient in managing documents and deadlines related to events.
  • Flexibility: Ability to adapt to changing workloads and work outside standard hours as needed.
  • Professionalism: Demonstrates sound judgment and represents the organization in a professional manner.
  • Confidentiality: Committed to maintaining donor privacy standards.
  • Communication Skills: Excellent written and verbal communication abilities.
  • Interpersonal Skills: Strong interpersonal skills with a focus on high-quality customer service.
  • Physical Requirements: Ability to lift up to 10 pounds occasionally and move about the facility.
  • Attention to Detail: Exceptional attention to detail is required.
  • Mental and Visual Demands: Normal mental and visual capabilities are necessary for the flow of work.
  • Mission Alignment: A strong passion for the mission of the organization.
  • Driver's License: Must possess a valid driver's license and meet the organization's driver criteria.
