POSITION SUMMARY

The Events Administrator is essential in facilitating the operations of various events throughout the year. This role encompasses managing event RSVPs, creating event websites, and securing donations for silent auctions. The Events Administrator will also oversee the OneCause event management software and participate in all relevant training sessions to optimize our use of the platform.

KEY RESPONSIBILITIES

  • Event Planning and Promotion: Assist in the coordination of all event operations, including major fundraising events and community gatherings.
  • Event Management Systems: Develop, manage, and maintain event sites using the OneCause event management system and other platforms, ensuring precise guest list management and ticket processing. Regular training will be attended to enhance platform proficiency.
  • On-Site Event Support: Provide operational assistance during major events to guarantee seamless execution.
  • Administrative Assistance: Support the Director of Development Operations with various administrative tasks.
  • Inventory Oversight: Maintain an inventory of all event-related materials, ensuring availability for each event and notifying the supervisor when supplies are low.
  • Meeting Documentation: Record notes during all event-related meetings for accurate historical reference.
  • Progress Tracking: Participate in weekly meetings with the supervisor to review event planning and execution.
  • Marketing Assistance: Aid in the editing of event marketing materials and graphic design on the OneCause platform.
  • Silent Auction Coordination: Secure donations for year-round silent auctions through online request forms and participation in committee meetings.
  • General Support: Undertake additional responsibilities as needed to contribute to the success of the development department.

QUALIFICATIONS

  • Education: A college degree is preferred.
  • Event Planning Experience: Prior experience in event planning is preferred but not mandatory.
  • Technical Proficiency: Strong computer skills with a willingness to learn specialized software.
  • Creativity and Initiative: An innovative self-starter with a positive attitude and the ability to work independently.
  • Team Collaboration: A team player capable of collaborating effectively with staff at all levels.
  • Organizational Skills: Ability to manage documents and deadlines related to events efficiently.
  • Flexibility: Willingness to adapt to changing workloads and work outside standard hours as events approach.
  • Professionalism: Ability to exercise sound judgment and represent the organization professionally.
  • Confidentiality: Commitment to maintaining donor privacy standards.
  • Communication Skills: Strong written and verbal communication abilities.
  • Interpersonal Skills: Excellent interpersonal skills with a focus on high-level customer service.
  • Physical Requirements: Ability to lift up to 10 pounds occasionally and perform tasks requiring manual dexterity.
  • Attention to Detail: A keen eye for detail.
  • Mental and Visual Demands: Normal mental and visual capabilities are required for the flow of work.
