Job Overview

The Sales and Events Coordinator will deliver exceptional administrative support by conducting thorough research, preparing analytical reports, addressing guest concerns, and performing clerical tasks such as drafting correspondence for both internal and external communications. This role involves managing event functions and group reservations while providing insightful tours of the property for potential clients across multiple hotels.

Key Responsibilities:

  1. Handle booking inquiries through various channels, assess the business potential, and prepare necessary documentation including evaluations, proposals, contracts, and Banquet Event Orders (BEO).
  2. Generate leads for Group Rooms and Function Rooms through online research and telemarketing efforts.
  3. Maintain and update the sales database, ensuring accurate records of account activities, call reports, and group room logs.
  4. Organize and manage essential documents to support departmental operations, including weekly sales reports and event calendars.
  5. Create and manage group blocks within the property’s management systems, ensuring all reservation requests and procedures are followed accurately.
  6. Assist clients with meeting planning from initial inquiry through to successful execution, including on-site presence during events as required.
  7. Participate in scheduled meetings and coordinate communications across departments regarding daily arrivals and hotel amenities.
  8. Ensure high-quality service for groups and accounts, while being proactive in supporting other departments as needed.
  9. Engage in sales initiatives in collaboration with management to enhance business opportunities.
  10. Complete all required training and adhere to the standards set by the management and brand.
  11. Utilize various software tools to produce necessary documents and maintain data integrity.
  12. Prioritize guest satisfaction by following established guidelines and protocols.
  13. Perform additional duties as assigned.

Qualifications:

  • High School Diploma or equivalent.
  • Fluency in English, both written and spoken.

  • Excellent interpersonal and time management abilities.
  • Proficient in guest relations and problem-solving techniques.
  • Flexibility to work varied shifts, including nights and weekends.
  • Proficiency in Microsoft Office 365 applications.

  • Commitment to excellence and a passion for exceeding expectations.
  • Strong attention to detail and organizational skills.
  • A willingness to learn and grow within the role.
