The Sales and Events Coordinator will deliver comprehensive administrative assistance by performing research, generating analytical reports, addressing guest concerns, and executing clerical tasks such as drafting internal and external communications. This role involves managing event functions and group reservations, as well as conducting hotel tours for potential clients across multiple properties. Key responsibilities also include being present on-site before and during events to ensure seamless execution in accordance with the details outlined in the Contract and Banquet Event Order (BEO). Flexibility in work hours is essential, including the possibility of evening and weekend shifts based on operational needs. Additional duties may be assigned by the General Manager or Regional Sales Manager. Given the coordinator's role as a bridge between Staybridge Naples and its clientele, exceptional writing abilities, clear verbal communication, and attentive listening skills are crucial.
Key Responsibilities:
- Manage booking inquiries via phone, email, and RFP platforms, assess business viability, and prepare necessary documentation including evaluations, proposals, contracts, BEOs, and Event Checks.
- Generate leads for Group Rooms and Function Rooms through online research and telemarketing efforts.
- Maintain and update the sales database, ensuring accurate records of account activities, call reports, and Group Rooms Control Log.
- Organize and archive documents to uphold essential records utilized in departmental operations.
- Create and manage Group Blocks within the property’s PMS and Revenue Management Systems.
- Assist clients with meeting planning from initial inquiry through to successful execution.
- Participate in scheduled meetings as directed by the General Manager.
- Facilitate cross-departmental communication regarding daily arrivals through both verbal and written instructions, including conducting property tours that effectively communicate the hotel’s amenities.
- Ensure timely service for groups and accounts.
- Support other departments as needed and be open to cross-training opportunities.
- Engage in sales blitz activities alongside the Regional Sales Manager and/or General Manager.
- Complete required training as mandated by Staybridge Naples and the specific brand.
- Utilize various software applications to enter data and produce contracts, correspondence, and other necessary documents.
- Prioritize guest satisfaction by adhering to all guidelines and training provided by management and the hotel brand.
- Perform additional duties as assigned.
- High School Diploma or equivalent.
- Fluency in reading, writing, and speaking English.
- Strong oral and written communication skills.
- Excellent interpersonal and time management abilities.
- Skills in guest relations and problem-solving.
- Willingness to work varied shifts, including nights, weekends, and holidays.
- Required hours: This is a salaried position with an expectation of 40-50 hours per week.
